Manager, Client Services

WHO WE ARE LOOKING FOR

Propper Daley seeks an experienced client services professional, with marketing & communications experience, who is passionate about making lasting social change. This position will support clients focused on issues related to racial equity and justice, so experience in or a passion for this work is a plus.

The primary function of this position is to manage the work of an Account Pod in delivering for a slate of nonprofit and/or brand social impact clients.

Key responsibilities include:

Project Management

Manage the Account Pod’s progress against the work, set project priorities, and identify opportunities to create efficiencies.

  • Manage work across client teams (both the client services and central office teams) against timelines, client priorities, hours, and budgets.
    • Closely manage tracking and utilization of hours across the client team within client scopes, and provide reports to leadership.
    • Manage roles and responsibilities across Account Pod.
    • Set priorities and executable timelines of client work, manage competing priorities, and actively update and adjust plans as needed.
    • Identify opportunities to create efficiencies in client work.
    • Monitor capacity of direct reports and work with department leadership to make necessary adjustments.
    • Support management of work against and within client scopes of work.
  • Manage utilization of organizational processes across Account Pod, including, but not limited to: Document organization; Time tracking system; Project management system.
  • Support management of Account Pod’s Client Services third party vendors.
    • Work with Account Pod leadership to identify needs, source, and secure third party support to complete client work or projects and set appropriate budget in line with project budget.
    • Support the development of third party vendor contracts, agreements, and scopes of work, appropriately leveraging templates and working with the Operations team, when needed.
    • Support management of Client Services third party vendors against project work and ensure proper payment.
  • Develop, manage, and track all client project and activation budgets, review budget reports provided by Central Office Departments against client work, and provide regular report-outs to Account Pod Lead.

Execution

Manage Account Pod to effectively complete the work to meet internal and client expectations.

  • Support the successful onboarding of new clients and projects by ensuring the full client team understands the goal, roles and responsibilities, hours, timeline, and all other information to be able to execute successfully.
  • Ensure client satisfaction by managing internal and client expectations in the best interest of the work and client contract.
  • Work with Central Office Departments to identify, develop, plan, and execute social impact activations and events.
  • Manage the development of all client memos, decks, and recommendation emails and ensure they clearly articulate research-driven rationale, impact-driven frameworks, achieve client goals, and are easily understood by the client.
    • Ensure Central Office is developing on-time deliverables in line with client vision and support as needed.
    • Ensure Account Pod is appropriately contributing to and supporting Central Office to develop all deliverables.
    • Ensure Central Office departments have all needed information, context, documents, and updates to complete their work effectively and efficiently.
    • Ensure all work product meets Propper Daley’s quality standards including proper grammar, proper formatting, integrity, and originality and aligns with clients’ industry best practices and standards.

Critical Thinking & Problem Solving

Demonstrate relevant issue knowledge to gather insights and proactively develop creative solutions, tactics, and strategies, and understand the implications of choices in order to leverage the team to collaboratively solve potential problems.

  • Ensure clarity of roles on the client team (both the client services and central office teams) and appropriately leverage resources available.
  • Manage the development of client strategies.
    • Manage the execution of research and the transformation of insights into strategies, tactics, and recommendations within clients’ chosen issue areas.
    • Manage the Central Office in the development of proactive and responsive strategic recommendations, taking into account client goals, strengths, available assets, and key gaps/opportunities in their field of interest.
    • Identify potential challenges in client work early on, develop creative solutions, and understand the implications of choices in order to leverage the client team to collaboratively solve potential problems.
    • Review and ensure developed strategies are appropriately adjusted and managed against internal and client feedback to achieve both internal and client priorities.
  • Ensure client work is evaluated to advance Account Pod and client priorities.
    • Ensure all executed strategies are analyzed and reviewed by appropriate Central Office departments as required within the client scope of work and for agency promotion and thought leadership opportunities.
  • Support the management of postmortem meetings and develop plans for implementing learnings across Account Pod’s work to drive efficiency, create a more seamless workflow, and increase impact.
  • Support efforts to grow Propper Daley’s knowledge, work, and brand.
    • Continuously grow and apply knowledge of client issue areas and the larger social impact industry.
    • Share relevant industry and issue articles with the Propper Daley team and clients to advance social impact and client-specific knowledge.
    • Support the development of thought leadership opportunities to further Propper Daley’s brand as time allows, including, but not limited to: Drafting thought leadership pieces, identifying and attending conferences, drafting case studies, drafting white papers, or sharing relevant news/trends/insights with the agency.

Communication

Act as the main point of contact for the Account Pod internally and externally (with clients, partners, consultants, etc.) to ensure consistent alignment across deliverables.

  • Develop and execute a regular cadence of communication with clients and internal departments.
    • Manage and own internal communications for client team, across both Client Services and Central Office, ensuring consistent alignment across the work.
    • Act as the main point of contact with clients and other external stakeholders, including partners, and consultants.
  • Provide Central Office departments clear and informative updates from clients and partners that allow them to execute their work efficiently and in line with project priorities.
  • Manage and lead all forms of client presentations by assigning roles and responsibilities, leading preparations, managing delivery, and tracking and managing next steps.
  • Ensure Central Office team members are appropriately communicating with clients.

Leadership

Manage across and support the growth of the Account Pod, and manage up to supervisor to ensure success of work.

  • Participate in a positive and inclusive agency culture and work environment by building and supporting the development of productive and positive working relationships with and between all team members.
  • Proactively seek opportunities for training that advances client services and social impact knowledge and skills.
  • Manage across members of the Account Pod and up to Client Services leadership to ensure success of client work.
    • Conduct performance evaluations for direct reports as needed and as required.
    • Provide ongoing management and mentorship to the Account Pod.
    • Provide support to new team members through onboarding to ensure the success of the Client Services Department and the work.
  • Provide superior client service to support renewals of clients.
  • Identify opportunities to upsell clients against additional services or projects by evaluating current work and promoting Central Office offerings. Work with Account Pod leadership to develop plans.
  • Participate in select business development activities as needed and as capacity allows, including participating in meetings.
